Who is responsible for managing my information?
ace Lifestyle has sole responsibility for managing all information collected.
What information is collected and how is it used?
If you book a class online then the personal details that you provide during the booking process are collected. These include your name, email address and mobile phone number. The key reason for collecting this information is so that you can be contacted quickly if a class is rescheduled or cancelled. In addition, you will be asked to provide details of injuries, health issues and medication to ensure your fitness to participate in a particular class. Your payment card details are collected by a third party and managed in accordance with the Payment Card Industry Data Security Standard.
For nutrition clients, medical details that you provide in a health screening form are collected. In addition, notes made during consultations about your medical history and symptoms are also stored along with treatment plans and test results (if applicable). Medical information is stored as either electronic documents, on a secure and password protected computer, or as a hard format in a locked filing cabinet. Data will be retained for eight years after a client’s last appointment in line with retention guidance provided by The British Association for Nutrition and Lifestyle Medicine (BANT)
On what legal basis will we use your information?
Care is taken to store only personal details that are relevant to your relationship with ace Lifestyle. In addition, your contact details may be used by ace Lifestyle to tell you about products and services that we think may be of interest to you. You can opt-out of these communications at any time.
Your personal data will only be shared without your permission if required to do so by law or regulation.
Who will you share my information with?
ace Lifestyle will not share your personal information with any third party for the purpose of their or any other third party’s direct marketing.
Updating Your Details?

How long will we hold your information for?
Your information is only stored whilst it is required for the relevant purposes or to meet legal requirements. In the case of medical history notes this period will be eight years from the date of your last appointment with ace Lifestyle. Where your information is no longer required, we will ensure it is disposed of or deleted in a secure manner.
You have the right to ask us at any time:-
- to confirm whether we hold any of your personal data;
- to send you a copy of any personal data that we hold about you;
- to correct any inaccuracies in your personal data and to add relevant details where the personal data we hold is incomplete;
- to cease processing and or delete personal data (except where legal retention periods have been set).
